Projects - Equipment - Add Items
Here is where you'll add most of your Non-Worksheet items to your Project. The two main methods are the "Add Items" text box, and the "Spreadsheet View".
- Add Items Textbox
Here is where you'll add most of your Non-Worksheet items to your Project. The two main methods are the "Add Items" text box, and the "Spreadsheet View".
The "Add Items Textbox" accepts text, written with specific formatting, to let you add bulk Items, create multiple Positions at once, and create various other objects. It's designed to let you create an entire gear list for a project as if you were writing an email.
While this allows you to enter information quickly, it does require some attention to the formatting of the text, so we can understand it.
Show Equipment items are the specific items you plan on bringing. We look for a line with a quantity followed by an 'x' to find an item:
5x 100' Edison Cables
The quantity can be a number, or 'lot' or 'all', if the exact quantity is unknown.
lot x 100' Edison Cables
The length of an item is found by looking for the apostrophe, or the abbrieviation 'ft', after any number.
1x 20ft Edison Cables
-or-
1x 20' Edison Cables
The name of the item follows either the quantity, or the length, and runs until we find either the end of the line, or a comma ',' or dash '-'
After the name of the item, following a dash or comma, there are some special words we can enter, each separated by another comma or dash.
1x 20ft Edison, note: Make sure it's bright yellow!
Will add one 20ft Edison item, with the note "Make sure it's bright yellow!"
1x 20' Edison, label FOH Coffee Maker
Will add one 20' Edison item, with the label "FOH Coffee Maker"
Items with labels can be included in the "Cablesheet" Report
You may also add cables into a loom (or tripe, etc) with the 'Loom' keyword
2x 50' Edison, loom DSR Teleprompter
Like labeling a cable, loomed cables are added to the "Cablesheet" report. However, looming a cable will convert the item into a special Worksheet Item, specifically the "Cable Worksheet".
The Item row will turn red with a note saying "Created By Cablesheet", and you will only be able to Sort, Delete, and Match the item. The item has been moved to the Cable Worksheet, where the looming options, labels, and other details can be managed.
In addition to Show Equipment items, you can enter Positions, Cases, and general notes.
Positions are physical locations, like "Front Of House", or "DSR Racks". Every item is located in a Position, which will group them together and allow consistent color codes.
New positions are marked simply with a line starting with a dash '-', everything afterwards will be the Position name.
-FOH
1x 20ft Edison, label Coffee Maker
1x Coffee Maker
5x Bags of Coffee
Will add a new position named 'FOH', then add a 20ft Edison item, a Coffee Maker item, and 5x Bags of Coffee to that position.
This new position will be used for all items until a new position is entered.
In addition to Position, items can be sorted into Cases. Cases have their own label and color code options, and are created by starting the line with 'Case'
-FOH
case FOH Coffee Stuff
1x Coffee Maker
5x Bags of Coffee
1x Bobs Special Mug
2x Rags
Case FOH Cable
1x 20ft Edison
2x 15' Laptop Chargers
1x Monitor Cable
Will add a new position labeled FOH, create a case labeled "FOH Coffee Stuff", and add the coffee maker, bags of coffee, and special mugs to that case. A second case labeled 'FOH Cable' is created, with the Edison, Laptop Changers, and Monitor Cables added.
Items following a case will go into that case until a new case is created, or blank line is found.
Notes, Hints, and TODO items can be added also. A line starting with 'Note:', or 'Hint:', or 'TODO:' will use the rest of that line to create the appropriate item. They will be attached to current Working Position.
Full Example:
-DS Truss
hint: Homerun length is 150ft
case DS Cables
1x 75ft Soca Cable, label DS-A Part 1, loom DS-A
1x 50ft Soca Cable, label DS-A Part 2, loom DS-A
1x 25ft Soca Cable, label DS-A Part 3, loom DS-A

- Spreadsheet View
Instead of writing out every item in your Project, you can choose from a list using the Spreadsheet View. Less options are available, and you must already have a working Inventory, but you type much less and the Spreadsheet View can double as a "don't forget" checklist.
NOTE: The Spreadsheet view will only show you items in your enabled Inventories, and will only show you quantities of items Matched to an Inventory item! Head to your Inventory tab to enable the correct Inventories if you don't see the items your expect, and make sure your Equipment list is matched to Inventory Items to see quantities
Position Column
The first column is the list of Positions in your project. You can create new positions with the textbox and the "Create" button at the top of the list.
Normally the Spreadsheet view only shows items in the current active position, however clicking the "Show Quantity from All Positions" checkbox will disable that filter. This is especially helpful for creating spares lists, and double checking the entire project.
Category Column
The middle column lists all the categories in you inventory. Clicking a category changes which items are visible in the right hand column.
You'll see an orange "(Has Items)" note to callout categories with items added to your project.
The grey "Sub Cats" callout lets you know that particular category has subcategories.
Gear Column
The last column shows the inventory items in the selected category, and the quantity in the active position (or all positions if that option is checked.)
Normally, Worksheet items are invisible to you in this view, but you can check the "Include worksheet items in quantities" checkbox to add them to your totals.
The Gear list has color coded text boxes to help callout line items with quantities:
• Orange means the item has quantities from the standard, non-worksheet equipment list.
• Blue means the item has quantities from Worksheet items, which are normally hidden here. By default, any textbox with a blue border will have a quantity of zero. You can check the "Include worksheet items in quantities" box to show actual quantites.
• Green means the item has quantities from both the standard Non-Worksheet list and from Worksheets. Once again, by default only the Non-Worksheet quantities are shown.
Hovering your mouse over a textbox will show you details on the item quantites, giving you Standard item counts, Worksheet item counts, and total quantites.
Adding and Removing Gear
Adding and removing gear works as you expect, with some notes.
Changing the quantity in the textbox changes the TOTAL quantity, in either the position, or if you have "Show Quantity from All Positions", the entire project. Worksheet items cannot be added or subtracted here, only displayed.
Changing a quantity from "10" to "7" will remove 3 items from your project (if possible).
Increasing the quantity (Adding to your project): The item will be added to whichever Position is active (highlighted in the first column)
Decreasing the quantity (removing from your project): Items will be removed from the current position. If you have "Show Quantity From All Positions" checked, you'll have the option of removing more items than are in the current position. In that case, items will be removed in the order in which they were added.
